ApariPro can pull employment and CIS (Construction Industry Scheme) data directly from HMRC, automatically populating information for your tax submissions. This guide covers both workflows.
HMRC holds detailed employment information for all your employed clients — earnings, tax paid, national insurance, and more. Rather than manually entering this data, you can pull it directly from HMRC into ApariPro. It's faster, more accurate, and reduces data entry errors.
In the client's account, go to Profile & Settings
Select Data Connections
Select 3rd Party Accounts
Click the dropdown arrow on the Agent Services Account card
Select Pull data from HMRC
ApariPro will connect to HMRC and retrieve the employment information. Wait a few seconds for the data to populate.
Once it arrives, you can click View next to each employer to see the full details — earnings, tax deductions, national insurance, everything HMRC has recorded.
In the client's account, go to Tax Submission from the left-hand menu
Select the MTD tax year
On the MTD Submission Overview, click the dropdown in the Non Business section
Select View
Click Pull data from HMRC
Again, wait a few seconds for the data to populate. You can click View next to each employer to see the full details.
Both methods pull exactly the same data from HMRC. Choose whichever is more convenient based on where you're working in the software at the time:
Data Connections — if you're managing client settings
Tax Submission — if you're already in the tax submission screen
If you have CIS subcontractor clients, ApariPro can pull Construction Industry Scheme payment and deduction information directly from HMRC. This gives you accurate, current data for their tax submissions without manual entry.
Before you can pull CIS data, you need to enable CIS for that client. This is a one-time setup:
Go to the MTD Submission Overview page
Click the gear icon next to the page title
Expand the Self-Employed business section
Find the CIS Deductions toggle and change it to Yes
Click Save at the bottom
CIS is now enabled for this client.
Return to the MTD Submission Overview page
Expand the Self-Employed business section again
You'll now see a new line item for CIS Deductions — click View
On the CIS Deductions page, click Pull data from HMRC
ApariPro will connect to HMRC and retrieve the CIS information. Wait a few seconds for the data to populate.
You'll see:
At the top: Overall breakdown of CIS deductions for the subcontractor
Below: Breakdown per contractor — each CIS return HMRC has on file
Click View next to any contractor to see the full details of their CIS submission.
If a contractor hasn't yet submitted their CIS returns to HMRC, their data won't appear when you pull from HMRC. However, ApariPro provides an option to Create Contractor manually, allowing you to add the information yourself if needed.
Pull data multiple times if needed You can pull employee and CIS data as many times as you need. If your client updates their information with HMRC, simply pull again to get the latest data.
HMRC data is source of truth The information pulled from HMRC is the definitive record. If there's a discrepancy with what your client told you, check with them — HMRC's data is correct.
CIS enablement is a prerequisite Don't forget to enable CIS before trying to pull CIS data. If you see no CIS line item on the MTD Submission Overview, check that CIS has been enabled and saved.
Q: The employment data isn't appearing. What should I do? A: Give it a few more seconds — HMRC sometimes takes a moment to respond. If it still doesn't appear after a minute, try refreshing the page. If the issue persists, contact support.
Q: Can I pull employee data multiple times? A: Yes. You can pull it as many times as needed to fetch the latest information from HMRC.
Q: I enabled CIS but the client doesn't have any CIS deductions. Is that a problem? A: No. You can toggle CIS back to 'No' and save if you've made a mistake. It's easy to adjust.
Q: What if a contractor submits their CIS returns after I've already pulled the data? A: Simply pull the data again. ApariPro will fetch the latest information from HMRC.
Q: Should I edit the employee or CIS data manually after pulling it? A: Generally, no. This data comes directly from HMRC, so it's the definitive record. If there's an error, it's usually on HMRC's side or the original submission to HMRC. Contact support if you need to make corrections.
Q: What's the difference between the two employee data methods? A: They're equivalent — both pull the same data from HMRC. Use whichever is more convenient based on where you're working in the software.
Once you've pulled employee and CIS data:
You have accurate, current information ready for tax submissions
The data is integrated into your MTD submission forms
You can proceed with categorising additional transactions and preparing the return
