MTD set up in ApariPro

This guide will walk you through connecting your HMRC Agent Services account to ApariPro and managing your clients' MTD status to prepare for quarterly submissions.

Before You Begin

Important Prerequisites:

  • Both you and your clients must be registered for MTD with HMRC (this is not done automatically)

  • You must have an active HMRC Agent Services account

  • You must have your Agent Reference Number (ARN)

  • Your clients must be registered with HMRC for MTD before they can be managed in ApariPro

Step 1: Connect Your HMRC Agent Services Account

  1. Navigate to Profile & Settings from your ApariPro dashboard

  2. Select Personal Data

  3. Click Edit to modify your profile information

  4. Add your HMRC Agent Services Account ID and ARN (Agent Reference Number)

  5. Click Confirm to save your details

  6. Use the back arrow to return to the previous screen

Step 2: Establish HMRC Connection

  1. Select HMRC Connection from the menu

  2. Click Connect to HMRC

  3. Follow the on-screen instructions to authorise the connection

  4. Once complete, the connection status will be displayed

Step 3: Add Clients to Your MTD Management List

  1. From the HMRC Connection screen, select Manage Clients to access your client management area

  2. Click Add to List to begin adding clients

  3. Choose clients who have already been registered with HMRC for MTD

  4. Select the checkbox next to each client's name you want to manage

  5. Click Check MTD Status

ApariPro will now verify with HMRC that your selected clients are MTD registered and ready for management.

Understanding MTD Status Results

After checking status, your clients will appear in one of two lists:

MTD Connected List

  • Status: "MTD Ready"

  • Meaning: Client is fully registered with HMRC for MTD and ready for quarterly submissions

  • Next Step: You can begin retrieving and preparing client data for quarterly MTD submissions

Not Connected List

  • Status: "HMRC Error"

  • Meaning: Client is not properly registered for MTD with HMRC

  • Required Action: Client must complete MTD registration with HMRC before you can manage them in ApariPro

Managing Clients with Registration Issues

If a client appears in the "Not Connected" list:

  1. Ensure the client completes their MTD registration with HMRC (either directly or through you as their authorised agent - this can be done via your HMRC portal)

  2. Once registered, return to the client management area

  3. Select the client's checkbox

  4. Click Recheck Status

  5. If registration is successful, the client will move to the "MTD Connected" list with "MTD Ready" status

Adding Additional Clients

As you register more clients with HMRC for MTD, repeat this process:

  1. Select Add to List

  2. Choose your newly MTD-registered clients

  3. Check their MTD status

  4. Begin managing MTD-ready clients

Monitoring Your MTD Clients

Main Dashboard View

Your MTD clients will be visible in your main client list, clearly marked as "MTD Connected" for easy identification.

MTD Tab Overview

Access the MTD Tab to see:

  • Overview of where each client stands in the MTD workflow

  • Next deadline date for each client

  • Individual quarterly submission status for each client

  • Complete MTD client management in one centralised location

Once your clients show as "MTD Ready," you can begin retrieving their data to prepare for quarterly MTD obligations and submissions.





Troubleshooting

Client showing "HMRC Error" despite believing they're registered: This typically means the client is not actually enrolled for MTD. Verify their registration status directly with HMRC or assist them in completing the enrollment process.
