Adding a new client

You can add new clients in two ways, individually or in bulk. Adding clients individually is ideal for adding a small number of clients and for larger numbers you should add multiple clients using our CSV-file client importer.

Setting up individual clients


To set up a new individual client, select ‘add a new client’ on your agent dashboard and then select ‘Individual’. The information you enter will create the clients account and begin populating their return.


After entering the client's details ensure you include the clients email address which will be required to enable client connect access for your client and select confirm to create your client. Your client will now appear on your agent dashboard.

                                             


Bulk import multiple client records


To import multiple clients by CSV-file there are mandatory fields and minor formatting that must be observed. An example CSV-file template is available:


  1. From the main dashboard select Add new client 

  2. Next select Multiple 

  3. Finally select Download a sample template


NOTE: The example file is recommended not only for the mandatory fields but so you can see the other data that can be mapped and imported. For example if clients have filed for the current filing period or not.


Mandatory Fields

  •  First Name

  •  Last Name

  •  Client Email 

  •  Address House Number

  •  Address Street Name

  •  Address City

  •  Address postal code

Splitting Your Data for ApariPro

If you discover information in one column in your source file, but ApariPro needs the same information to be spread out into two or more separate columns, you will need to split that original column before you upload your file. For example:

  • Your spreadsheet: Has "John Smith" in one column.

  • APARIPro needs: "John" in a First Name column and ‘Smith’ in a Last Name column.

You'll need to use a tool in your spreadsheet software (like Excel's Text to Columns or, Google Sheets Split text to columns features) to break up that single column into the separate pieces ApariPro expects.


Starting your import

Once you have the mandatory information required split into the correct numbers and types of columns you can import your data file.


  1. From the main dashboard select Add new client 

  2. Next select Multiple

  3. Drag and Drop your CSV file or select Browse files in order to locate your CSV file

  4. Once you have selected your CSV file, select Confirm

  5. Next you need to map the fields accordingly paying attention to those with a red Asterix as these are the mandatory fields

  6. Once all your fields are mapped select Confirm.

  7. On the next screen you must fix any errors, and select in the far right column if your clients have already filed or not the current filing years tax submission.

  8. If there are no errors, Check the option Select All (you can also Unselect any records you do not wish to import)

  9. Finally, select Import

  10. Once the import is complete, you have the option to assign the clients imported to a user/users. You can also do this later in User Management.


FAQ’s

Can I only import the mandatory fields?

Yes you can import client records using only the mandatory fields. However, not providing DOB, NI Number or whether the customer has filed for the current filing period or not may require manual updates after the import.


Can I import clients that don't have an email address?

Yes you can import clients that don't have an email address. ApariPro will create a temporary email address which should be updated at the earliest opportunity. Clients will need their own email address to login and upload documents, connect bank feeds and ultimately view and approve self assessment returns before they are submitted to HMRC.
